Lööki’s ERP Designed for Success

In early 2023, Lööki launched a development project aimed at renewing the company’s operational management and ERP system. In all operational management system projects, it is essential to form a clear understanding of the current state of operations and create a plan for ERP development steps based on this understanding.


All successful projects are anchored in strategy. Lööki wanted to develop its operations sustainably and ensure the realization of strategic goals, such as data-driven management, sustainability themes, and the development of the entire staff’s expertise.


The project began with building a project initiative with Lööki, after which the collaboration moved to the next phase, and the actual project was launched.


"Digileaper’s first task was to build a project plan and support the project team in constructing the requirements specification," says Mira Raappana, Service Manager at Oulun Tuotantokeittiö Oy.


At the beginning of the project, Lööki’s business environment and processes were thoroughly modeled and clarified. A digital twin was built in the Twin cloud service, which helped form an understanding of the operational environment—business processes, tools used, and people’s responsibilities and roles as part of the whole. This work was done with Lööki’s extensive project team, engaging people from different areas and ensuring a unified understanding of the situation.

A key foundation for a successful operational management system project is the broad engagement of people at an early stage. Lööki has excelled in this.

The digital twin modeled the future solution architecture, needs, and requirements from production planning to manufacturing and invoicing. The goal was to find common and scalable operational models applicable to different-sized production kitchens and clarify these into the ERP system’s structure and various requirements. The result was a solution architecture and requirements specification—or, as some may know it, the "Functional Design Document (FDD)."


Based on the requirements specification, a public tendering phase was launched, resulting in the selection of the system and supplier. Comprehensive groundwork is the foundation for good tendering and the actual implementation project.


Digileaper’s project management expert, in collaboration with the customer, is building the implementation project, with the Prestudy phase being one of its most essential parts. In the Prestudy phase, the system’s functionality is reviewed with the supplier in relation to the practical requirements of the tender.


"After selecting the supplier, Digileaper guided the Prestudy phase, and we gained a comprehensive understanding of the chosen system’s suitability for our operations," Mira Raappana summarizes.

Well-executed groundwork is evident in the comprehensive compatibility of requirements and the system in the Prestudy results—and Lööki’s ERP is exactly as planned.

The most important success factor is the work of the customer’s internal project team and the contributions of the people involved in the project. Coordination of project work is also crucial. Combining the work and schedules of project teams seamlessly ensures adherence to the planned project timeline. It is essential to actively and openly address emerging questions, risks, and concerns, bringing them to the attention of the parties involved for joint resolution.


"We have received support from Digileaper for our project, and we have a good foundation to continue toward implementation with the chosen supplier," Raappana concludes.

Lööki’s core business includes food production for Oulu’s schools and daycare centers, as well as for the needs of the North Ostrobothnia Wellbeing Services County, serving around 32,000 meals daily. Lööki employs approximately 110 people. The administrative premises are located in Rusko, and there are a total of five production kitchens.
